Submitting a Maintenance Request: A Guide for Tenants If something breaks in your apartment, knowing how to report it properly can save you time and frustration. Most property management companies in Canada now use an online portal or app for maintenance requests, though many still accept phone calls for urgent issues. When you submit a request, be as specific as possible. Instead of writing "the sink is broken," describe what is happening: "The kitchen sink drain is clogged and water backs up when I run the tap." Include when the problem started and whether it affects daily activities like cooking or bathing. Photos help enormously, since a maintenance worker can often identify the right tool or part before even arriving, which cuts down on return visits. Requests are usually sorted into three categories: emergency, urgent, and routine. Emergencies include no heat in winter, flooding, gas smells, or a broken lock on an entry door; these should be reported by phone immediately, day or night, because they threaten safety or cause serious property damage. Urgent issues, such as a leaking pipe or a non-working refrigerator, are typically addressed within 24 to 48 hours. Routine requests, like a loose cabinet hinge or a squeaky door, may take one to two weeks depending on the building's schedule. Tenants should also keep a copy of every request they submit, along with the date and a confirmation number if one is provided. This record matters if a landlord is slow to respond and the tenant later needs to contact a provincial tenancy board. Most provinces require landlords to keep rental units in a reasonable state of repair, and a documented request is evidence that the tenant gave proper notice. Finally, be home or arrange access for scheduled repairs. Missed appointments often push a request to the back of the queue, and buildings with many units cannot always offer flexible rescheduling on short notice.
