Staff Notice: Overtime Approval Process Effective next pay period, all overtime hours must be approved by a supervisor before they are worked, not after. Employees who anticipate needing extra hours to finish a task should submit a request through the staff portal at least 24 hours in advance, stating the reason and the expected number of extra hours. Supervisors will review requests daily and respond within that same 24-hour window. Approved overtime will be paid at the usual rate of time-and-a-half. Any overtime worked without prior sign-off will not be paid unless it was caused by a genuine emergency, such as covering an unfilled shift or responding to an urgent client issue. This change is being introduced because several departments went over their labour budgets last quarter, and management needs better visibility into staffing costs before they occur rather than after. Employees who regularly need extra hours for the same recurring task should talk to their supervisor about adjusting their normal schedule instead of relying on overtime. Questions about the new process can be directed to the HR office. A short training session on how to submit requests through the portal will be held next Tuesday during lunch, and attendance is optional but encouraged for anyone unfamiliar with the portal system.
